Purchasing Manager

Purchasing Manager
The Role
The Purchasing Manager reports to the Financial Controller and the Director of Finance Risk and Compliance is
responsible for purchasing the necessary products in order to maintain, quality standards, consistent inventory levels,
budgeted food and beverage cost and any other financial goals established by management
Key responsibilities and accountabilities:
- Coordinates all search, pricing and procurement activity through the purchasing system established by management
- Receives weekly and monthly re-order to inventory pars and places orders based on forecasted demand
- Coordinates annual inventory reorders
- Obtains, maintains and openly receives competitive bids on meat, seafood, poultry, produce and grocery items, while ensuring best quality for best prices and that established specifications are met
- Co-ordinates delivery times with Receiving Clerks and ensures all deliveries are received as well as follows up with all Department Heads for deliveries not received
- Receives requests for purchasing from Department Heads, coordinates and channels, in a timely manner, to the General Manager and Director of Finance for approval, where applicable
- Obtains competitive price quotations, directly or through Department Head for specialty products.
- Selects suppliers based on specifications, quality and negotiated prices
- Prepares Purchase Orders, listing complete information (description, quantity and price including any shipping
- charges) and channels for approval
- Ensures proper records are maintained for Purchase Orders, Shipping Documents, Customs Clearance Documents, Duty Free Letters and Vendor Files
- Ensures monthly credit card expense reports are submitted
- Evaluates existing purchasing procedures and amends these at any time to ensure the continual efficient and best practice of the department.
- Interviews and hires, delivers employee orientation, training, counseling and disciplinary actions for the
- purchasing and storeroom departments.
Our preferred candidate must possess:
- A university degree in Management, Accounts or Economics from a recognized institution along with 5 to 10 years’ relevant experience as a Purchasing Manager
- Experience in the hospitality industry would be an asset
- Excellent customer service skills as well as good computer skills
- Good writing, reading, listening and computation skills as well as excellent planning and organisational skills.
- Ability to work under pressure in a deadline driven environment and sound judgement
- Ability to manage multiple projects
- Flexibility to work outside normal working hours to deliver excellent customer service

Banqueting Manager

Banqueting Manager
The Role
The Banqueting Manager reports to the Assistant Director of Food and Beverage Manager and will be responsible for the co-ordination and execution of all Sandy Lane catered Banquets & meetings whether held on or off site
Key duties and responsibilities:
- Ensures the efficient management of all private dining and meeting space within the resort.
- Prepares annual banqueting budgets (inclusive of labour) for the Director of Food & Beverage approval
- Follows up with client after function in writing thanking for business requesting feedback and offering assistance for future functions.
- Closely monitors other expenses and cost of sales (Beverage cost, food cost,& cost of sales other) ensuring they are in line with budget
- Systematically follows up on bookings, responding to enquires within 24 hours of being received in the form of a letter accompanied by the necessary details and menus/wine lists brochures.
- Works closely with Groups Sales Coordinator to ensure that all potential group business proposals are developed quickly and accurately. To ensure business potential is maximized whilst satisfying clients need. Liaise with Groups Sales Coordinator to ensure that confirmed programme is executed smoothly, efficiently and to the client’s satisfaction.
- Conducts banquet site inspections in a competent and accurate manner.
- Reviews all arrangements requested by the client, to ensure that there is no compromise on the requirement of the Resort while ensuring that the client is aware of all implications of their requests, so we can assist the client in creating an event of the highest style and caliber.
- Have an in-depth knowledge of food & beverage products in order to discuss constructively with clients when planning events.
- Be fully aware of market trends and considerations so as to guide to items that are in season and contribute positively to food cost.
- Be constantly aware of the operating equipment available on the hire market and to develop strong relationship with the relevant suppliers.
- Develops a portfolio of pictures of past events to assist clients in appreciating the impact of different ideas.
- Monitors and controls quotations to ensure the appropriate margins are achieved and to be fully aware of all cost implications in the planning and execution of each event.
- Provides all relevant HODS with Banquets Event Orders at least 14 days prior to function.
- Be actively involved in the execution of events, ensuring that the event is set & ready in all aspects at least 30 mins prior to start.
- Trains and follows HACCP and Food safety requirements at all times
- Communicates all allergens, dietary requirements are communicated with all departments involved prior to the event
Our ideal candidate must possess:
- At least five years’ experience in managing Restaurant Operations, consistently delivering high service levels
- Previous food and beverage experience in an upscale outlet.
- Good guest relations skills and an ability to be attentive to all guests needs.
- Able to walk and stand for 7 hours or more and able to lift and carry up to 50 pounds.
- A recognized qualification in Hotel and Food & Beverage Management
- Strong leadership, organizational and people management skills
- Must be financially astute with regards to management and control of departmental budgets and expenses
- Detailed wine knowledge and training will be an asset
- The ability to function efficiently in a high pressured and fast paced environment.
- Excellent communication, interpersonal and computer skills
- Excellent organizational and time management skills.
It is a requirement that the candidate must have a flexible working style as long hours are required from time to time. The
successful candidate must be responsive to the 24 hour operational requirements of the business on a needs basis.

Housekeepers / Housemen
Complete assigned duties for the cleanliness of all guest rooms, suites and for the general comfort of all guests.
Laundry Attendants
Use steam press, hot heads, steam tunnel and dry cleaning machines to process the linen inventories necessary for the seamless running of the Housekeeping department and the Hotel at large.
Assistant Waiters/Waitresses
Deliver food and beverage items from kitchen and bars to the restaurants in a quick and efficient manner while providing legendary, anticipatory service to guests. A keen eye for detail and consistent service excellence is key.
Assistant Bartenders
Mix, prepare and deliver beverage orders for the guests and fill the waiters/waitresses’ orders according to the highest standards of service. Assist with stocking /restocking of bars and ensure the cleanliness of their work area.
Stewards
Are responsible for the general cleanliness of all kitchens, Food & Beverage outlets and equipment. They also provide assistance with the setup and breakdown of restaurants and buffet décor.
REQUIREMENTS:
Experience in the Hotel Industry would be an asset.
The successful candidates must be team players, be in good physical condition and be able to perform extensive walking, bending and stretching. They must consistently maintain the highest standard of service and operational efficiency within their assigned areas.
